Stepping into the breach

Guiding a new client through OSHAS18001 reaccreditation

Background

This project, which was delivered through Amalgamate’s associate partnership with a complementary safety consultancy, involved support to a multi-sited UK financial organisation with a diverse risk profile, managed in accordance with ISO14001 and OHSAS18001 management systems.

Challenge

To provide rapid assistance and expert consultancy suppport throughout the audit preparation process. The service was delivered within a very limited timescale, having been engaged only a week before the audit was scheduled.

Solution

Our Senior Health, Safety and Environmental Consultant Sharon Wooller stepped into the breach at short notice to support the client through the 2 day assessment process. She familiarised herself with the working processes and practices of the client through close communication, and a pre-audit review of the company’s management system documentation.

This review gave our consultant early visibility of any problems likely to arise including minor issues which could escalate to major non-conformities, alongside others identified during the audit. Working closely with the client’s team our consultant discussed the probable implications and their likely impact; however due to the short notice at which we became involved, we determined that little action could be taken to mitigate them prior to the audits. Our key role was to prepare them for dealing with the weaknesses identified by the auditor, allowing them to demonstrate their awareness, and formulate a corrective action plan.

During the audit an impartial approach was adopted by us to ensure fairness for each party. Our consultant liaised with the assessor to cushion the effects of the major non-comformance, acting as an intermediary between the two parties. When the foreseen minor non-conformity was escalated to major, she gave her recommendations to build a corrective action plan, which was submitted to the assessing body for approval. Further support and guidance were provided to the client on suitable actions to address the high priority actions.

Conclusion

The client concluded that we had provided a valuable professional solution to a challenging situation during the audit, and continues to seek advice and guidance from us as required.

Whatever the situation, and even at extremely short notice, we can provide thorough and practical advice to lead clients through OSHAS18001 audits, accreditations, and other processes. We can help to identify shortcomings, and provide clear guidance on how to resolve problems and take remedial actions to implement effective changes. We can also help clients to fully understand and mitigate their position, and liaise with the auditor on their behalf.
